What it is
This workflow handles exact PDF-based forms rather than only checklist-style forms. The product stores template PDFs, extracts or reviews field schema, accepts transcript-based or manual field entry in the field app, and writes the result back into a filled PDF.
Who uses it
- Admins uploading PDF templates and reviewing extracted schema.
- Field users dictating or manually reviewing field values.
- Office staff reviewing submissions and downloading the final PDF.
Step-by-step workflow
- An admin uploads a PDF template in the web app.
- The template field schema is stored for the organization.
- A field user selects the template in the iOS app.
- The user either dictates transcript text or manually reviews values field by field.
- The app submits extracted field data.
- The server fills the PDF and stores the filled PDF path.
- The office can review the submission and download the completed PDF.
Data captured
- Template ID and optional task ID.
- Raw transcript.
- Extracted field data as structured JSON.
- Optional signature artifacts embedded in submission data.
- Display name.
- GPS and location metadata.
- Offline metadata such as client submission ID and source device ID.
How dictation works
- The iOS app supports streaming transcript capture.
- Transcript extraction to field values uses the template field schema.
- AI-assisted extraction depends on configured services and network access.
- The review screen lets the user correct values before saving the submission.
PDF handling details
- Fillable PDF templates can be parsed and filled directly.
- Signature widgets or signature-like fields can be rendered with captured SVG signatures.
- The server stores the canonical filled PDF path after submission succeeds.
Outputs and downstream effects
- A submission record in the web app.
- A downloadable filled PDF.
- Review status and review notes.
- Optional automatic OSHA 300 case creation when a claims-category template is mapped for OSHA intake.
Device and platform context
- Template management and submission review live in the web app.
- Capture, dictation, transcript review, and queued sync live in the iOS app.
- My Files in the iOS app merges synced submissions with queued and pending local items.
Practical construction examples
- Filling an injury, incident, inspection, or owner-required PDF form from the field.
- Re-creating an exact contractor or owner PDF packet without retyping it in the trailer.
- Capturing a dictated field narrative and turning it into a completed form PDF.
Limitations and notes
- First login and AI-assisted extraction require connectivity.
- PDF actions are disabled until a queued offline submission finishes syncing.
- The current product fills PDFs and stores them, but broader document management features such as folders and bulk actions are limited.
